Inventory data-bearing equipment before furniture starts moving. Computers, phones, copiers, printers, external drives, network gear, access-control devices, and even some conference-room systems can store information. Put them in a controlled stream with a named owner instead of treating them as ordinary office junk.
Use four removal streams
| Stream | Examples | Release condition |
|---|---|---|
| Data-bearing | Laptops, drives, copiers, phones, servers | Sanitization and authorization documented |
| Leased or tracked | Copiers, telecom gear, furniture, security devices | Contract and asset register checked |
| Reusable | Desks, chairs, shelving, supplies | Recipient and transport confirmed |
| Removal | Broken furniture, nonhazardous debris, obsolete fixtures | Owner approval and access plan complete |
Do not confuse deletion with sanitization
Deleting files or resetting a device may not make the stored information infeasible to recover. The National Institute of Standards and Technology defines media sanitization as a process that makes access to target data infeasible for a given level of effort. NIST SP 800-88 Rev. 2 helps organizations choose among clear, purge, and destroy methods according to the media and confidentiality need. Applicability: U.S. organizations managing information-storage media. Retrieved September 22, 2026. Read NIST SP 800-88 Rev. 2.
Your IT or security lead should choose and document the method. A junk removal crew should receive equipment only after the organization has cleared it for release or assigned it to a qualified downstream data-destruction process.
Office cleanout checklist
- Export the current asset register
- Mark leased, financed, client-owned, and landlord-owned property
- Assign every storage device to an accountable person
- Complete and record the approved sanitization or destruction process
- Cancel access badges, keys, alarm codes, and device-management enrollment
- Separate batteries, lamps, chemicals, aerosols, and electronics from ordinary debris
- Confirm elevators, loading docks, parking, and service hours
- Photograph the cleared suite and record what left the property
Sequence the physical work
Start with confidential records and technology. Move reusable furniture next while pathways are open. Finish with broken furniture, ordinary debris, and the final sweep. If teams work in the opposite order, unverified devices can disappear into a mixed load and reusable furniture can be damaged by debris moving past it.
Questions to ask before pickup
Who has final release authority? Which items are leased? Does the building require a certificate, elevator reservation, loading permit, or protective floor covering? Are any desks anchored or wired? Where will electronics and batteries go? Get the answers in writing for a large or regulated move.
Once the controlled assets are released, office cleanout service can handle desks, chairs, shelving, approved equipment, and ordinary cleanout material. Call (256) 550-8466 to discuss the volume and building access.
